Business systems / Productivity & cash-flow operations

Less chasing.
More doing.
Connected work.

Build the systems behind a more productive organization—from the first inquiry to delivery and the invoicing handoff. Clearer ownership. Fewer disconnected steps. Better visibility.

For businesses, nonprofits, churches, and expert-led organizations.

EXAMPLE WORKFLOW / TAILORED TO YOUR TEAM

From interest
to execution.

  1. 01

    Capture

A website inquiry or internal request

  2. 02

    Qualify

An owner, context, and a next step

  3. 03

    Prepare

A proposal or approved work plan

  4. 04

    Deliver

    Tasks, milestones, and handoffs

  5. 05

    Follow through

An invoice handoff and approved reminders

Illustrative workflow—not a live client system. Financial actions require the appropriate authorization.

The business reason

Productivity and cash flow both depend on follow-through.

We focus on the operational steps you can improve. Better systems can help your team act sooner and see what needs attention; they cannot guarantee payment or revenue.

Give time back to the team.

Reduce duplicate entry, unclear ownership, and avoidable searching by connecting the agreed information and tasks.

Make billing handoffs visible.

Know when a milestone is ready for review, who prepares the invoice, and which approved reminders need attention.

Keep opportunities from going quiet.

Bring inquiries, next actions, and follow-up responsibility into a clearer working process.

What we build

Start with the part
that slows you down.

Each engagement has a defined scope. These are USD starting professional fees, not unlimited integrations or support.

01

Intake & follow-up

Starting at $1,250View full scope & pricing ↗

Inquiries arrive in too many places. The next step is unclear.

What we help create
Create a structured intake, routing rules, approved follow-up prompts, and a visible handoff to the person responsible.
What your team provides
Your inquiry sources, qualification criteria, approved messages, and account permissions.
Possible measures to agree
Time to first response, unassigned inquiries, and overdue follow-ups.
02

Workflow & invoicing handoffs

Starting at $1,500View full scope & pricing ↗

Work is completed, but updates and billing handoffs get delayed.

What we help create
Map approved triggers between your existing tools, prepare notifications, and connect completion milestones to invoicing handoffs. Define review steps and exception handling.
What your team provides
Your approved process, billing responsibilities, tool access, and the events that should trigger action.
Possible measures to agree
Time from approved milestone to invoice handoff, failed steps, and manual touches.
03

Knowledge & SOPs

Starting at $1,250View full scope & pricing ↗

Answers live in inboxes. Consistent delivery depends on one person.

What we help create
Organize approved information into a usable knowledge structure, document selected procedures, and define who maintains the content.
What your team provides
Current procedures, source documents, permissions, and a content owner.
Possible measures to agree
Time spent finding information, repeated questions, and outdated procedures.
04

Digital operating systems

Starting at $3,500View full scope & pricing ↗

Client work, projects, and responsibilities are disconnected.

What we help create
Design a shared workspace around agreed workflows, task ownership, client or project status, and relevant integrations. Document how the team should use it.
What your team provides
The workflows in scope, existing platforms, stakeholder decisions, and a system owner.
Possible measures to agree
Overdue work, handoff delays, task ownership, and completion visibility.

Built for real use

A system is only useful
when your people can use it.

01 / OWNERSHIP

Someone owns the next step.

Agree responsibilities, approval points, and exceptions before connecting tools.

02 / PERMISSIONS

Access follows the actual need.

Use approved accounts, appropriate permissions, and a clear plan for sensitive information.

03 / ADOPTION

The handoff is part of the plan.

Define documentation, training, support, and who maintains the workflow after launch.

Our process / five connected steps

From the first question
to a system you can use.

A clear pathway with decisions, responsibilities, and human judgment built in. The engagement defines the stages included.

  1. 01

    Discover

We clarify the goal, audience, current friction, and highest-value opportunity.

    Your part

    Share goals, examples, and constraints.

  2. 02

    Architect

We design the experience, workflow, information structure, and success measures.

    Your part

Review the scope, design, and success criteria.

  3. 03

    Build

We create the website, AI workflow, automation, or digital system in focused stages.

    Your part

Provide approved materials and timely feedback.

  4. 04

    Activate

We launch, document, train, and refine so your team can use what was built with confidence.

    Your part

Approve launch and name the system owner.

  5. 05

    Optimize

Review agreed measures and feedback, then scope the next refinement or ongoing support.

    Your part

Choose the next refinement or support scope.

A website, an assessment, and an integrated build need different scopes. Training, post-launch work, and ongoing capacity are included only as agreed.

Systems, clearly scoped

What to know
before we connect it.

Do we have to replace all our tools?+

Not necessarily. We first review the workflow and existing platforms. Compatibility, cost, security, and the team’s ability to maintain the system inform the recommendation.

Is cash-flow support the same as financial advice?+

No. This service addresses operational steps such as approved invoicing handoffs, reminders, and status visibility. It does not include bookkeeping, tax advice, financial forecasting, debt collection, or authority to move money unless separately agreed through an appropriate engagement.

What is included in a starting fee?+

The pricing page describes the starting professional scope. The written agreement confirms workflows, integrations, meetings, revisions, client inputs, timing, and exclusions. Software, API usage, migration, and work beyond the agreed scope are separate.

Can you connect our website to the system?+

Yes, subject to the platforms and scope. Intake, scheduling, CRM routing, and approved follow-up can connect the website to the work behind it. A website package does not automatically include an integrated operating system.

How will we know it is working?+

We agree useful acceptance criteria and example scenarios, including exceptions. Measures may include handoff time, unassigned work, duplicate entry, or invoice-readiness delays. Results depend on adoption and the starting process.

Who maintains the system after launch?+

The scope should identify the system owner, documentation, and any training included. Ongoing optimization and support are available as a separately defined monthly engagement. It is not unlimited monitoring or support by default.
